Reeson Care Homes: Medication Management & eMAR – Medication Management System Development Project

How a cycle-based digital MAR workflow helps care teams administer medication safely, maintain auditable records, and manage per resident stock across 28 day cycles.
Reeson Care medication management

The problem

Care homes administer a wide range of medicines—some on a strict schedule and others ‘PRN’ (as needed)—for residents with complex and changing needs. Prescriptions can be updated at any time, and each resident’s medication must be stored, administered, and stock controlled separately, typically in 28 day administration cycles.
When MAR sheets, receipts, consent forms, PRN protocols, and disposal records are managed across paper files and disconnected tools, staff spend valuable time chasing information and double checking calculations. That fragmentation increases the risk of missed doses, inconsistent documentation, and unclear accountability—especially during handovers, staff rotations, and when medication is taken off site.

The solution

Reeson Care Homes’ Medication Management module brings MAR Sheet Creation, medication administration, stock control, and document capture into one structured workflow inside Care Provision Records.

Key features include:
Medication Tracker
A caseload-based dashboard showing each resident’s last dose, next due time, and clear “Due now/Overdue” status—with access restricted to appropriately trained staff.
MAR Sheet Creation
Set the administration cycle (start date and duration), add GP prescriptions, define dosage/frequency/times, and generate the planned schedule for Regular medication.
PRN Prescriptions & Protocols
Capture “as required” medicines alongside their PRN protocol documents so guidance is available at the point of care.
Consent & Safety Context
Upload a single consent document per resident and maintain allergies/reactions/precautions with rescue or intervention notes.
Administration Recording
Calendar-style MAR entry with a positive confirmation step, “Was it taken?” and standardised outcomes (e.g., refused, out of stock), time given, staff initials, and notes—creating a consistent audit trail.
Stock, Receipt/Disposal & TTO
Record medication receipt and end of cycle disposal with witness fields, view current stock, and manage medication taken out (TTO) and returned—keeping stock calculations aligned with real-world movements.

The benefits

Reduced administration risk
Clear due/overdue visibility and structured recording reduce reliance on memory and informal notes.
Audit-ready documentation
Every administration event captures what happened, when, and by whom—plus read-only access to archived cycles.
Per-resident stock governance
Receipts, administrations, TTO movements, and disposals combine to give an up to date stock position for each resident.
Simpler cycle management
Cycle setup and “Repeat” workflows help teams roll forward prescriptions safely while accommodating updates.
Better PRN oversight
Protocols are accessible from the PRN list and PRN records capture behaviour, interventions, and amount given.
Role-based accountability
Training-gated access and permissions help ensure only authorised staff create and update MARs.
